Terms & conditions

The terms on which Language Solutions Aotearoa provides interpreting and translation services. They're meant to be fair and plain — if anything's unclear, just ask.

These terms apply when you book or use interpreting or translation services from Language Solutions Aotearoa ("we", "us", "our"). By confirming a booking or engaging us for work, you agree to these terms. Where we've agreed something different with you in writing — for example in a quote or a client agreement — that written agreement takes precedence.

Our services.

We provide professional interpreting — in person, by phone or by video — and written translation, including certified translation, across a wide range of languages. We work with a panel of qualified interpreters and translators and match a suitable professional to each assignment. Interpreting is the spoken or signed transfer of meaning in real time; translation is the written transfer of meaning between languages. We'll always tell you which service fits your need if you're not sure.

Quotes and bookings.

Tell us what you need and we'll provide a quote or confirm availability. A booking is made when you accept our quote or confirmation, and at that point a contract for the service is formed between us. To arrange the right professional, please give us as much notice and detail as you can — the language and any dialect, the date, time, expected duration, location or platform, the setting, and anything the interpreter or translator should know to prepare. Quotes are based on the information you give us; if the assignment turns out to be materially different, we may need to adjust the arrangements or the fee, and we'll talk to you before we do.

Confirmations.

We'll confirm the details of each booking with you before it goes ahead. Please check the confirmation and let us know straight away if anything is wrong or has changed, so we can keep the arrangements accurate and get the right person to the right place.

Cancellations and rescheduling.

If you need to cancel or reschedule, please tell us as early as you can. Because we commit an interpreter's or translator's time when a booking is confirmed, cancellations or changes at short notice may incur a fee — reflecting the time set aside and any preparation or travel already arranged. We'll set out our cancellation terms and any applicable notice period in your quote or confirmation. Wherever we can, we'll try to reschedule rather than charge.

Fees and payment.

Fees are set out in your quote or confirmation and depend on the service, language, mode, duration and any travel involved. Unless we've agreed otherwise, we invoice for completed work, and payment is due by the date shown on the invoice. Prices are in New Zealand dollars and, where applicable, GST is added. We keep pricing transparent and will explain any charge you're unsure about.

Interpreter and translator conduct and confidentiality.

Our interpreters and translators work to recognised professional and ethical standards. They interpret and translate faithfully and impartially, and they treat everything shared during an assignment as strictly confidential. Confidentiality is core to what we do: information disclosed in the course of a booking is not passed on to anyone, except where the law requires it. Your responsibilities.

To help us deliver good work, we ask that you: give us accurate and complete booking information and a fair brief; provide any background material, reference documents or terminology in good time; make sure the interpreter can access the location, appointment or platform and can hear and be heard clearly; and let us know promptly of any changes. Please direct all booking changes through us rather than approaching an interpreter or translator directly. Good communication both ways makes for a better outcome.

Certified translations and acceptance.

Where you need a certified translation, we prepare it to the standards required by the receiving body — for example Immigration New Zealand, Waka Kotahi NZ Transport Agency, the Courts or other statutory agencies. We take care to meet those requirements, but whether a translation is accepted for a particular purpose is always the decision of the receiving body. That decision, and the requirements it sets, are outside our control, so we can't guarantee acceptance. If you're unsure what a specific agency needs, tell us and we'll do our best to prepare the translation accordingly.

Limitation of liability.

We take real care in the work we do and stand behind its quality. Nothing in these terms limits any rights you have under the Consumer Guarantees Act 1993 or other law that cannot lawfully be excluded. Subject to that, we are not liable for indirect or consequential loss, or for loss caused by inaccurate or incomplete information provided to us, by circumstances outside our reasonable control, or by a receiving body's decision not to accept a translation. Where we are found liable, our liability is limited to the fees paid for the work concerned. If something goes wrong, tell us — we'd much rather put it right.

Governing law.

These terms are governed by the laws of New Zealand, and any dispute relating to them or to our services is subject to the jurisdiction of the New Zealand courts.

Changes to these terms.

We may update these terms from time to time. The current version always lives on this page, and the terms that apply to your booking are those in place when you make it. Last reviewed 2026.
